By downloading, installing, accessing, or using any AmaduTech software or service, you acknowledge and agree to the data practices described in this policy.
2. Offline-First Philosophy & Data Ownership
AmaduTech specializes in high-performance, offline-first software designed specifically for environments where continuous internet connectivity cannot be guaranteed. This architectural design directly protects your privacy:
Local Data Sovereignty
All primary business transactions, sales receipts, customer ledgers, inventory counts, student grades, and employee records created within our offline desktop and on-premise solutions reside locally on your own computer hardware or local server.
AmaduTech has zero visibility into your locally stored operational databases unless you explicitly enable cloud synchronization, request technical remote assistance, or share database backups directly with our support engineering team for debugging.
3. Information We Collect
Depending on which AmaduTech software or service you utilize, we may collect the following categories of information:
A. Account & Licensing Information
When you purchase a license, register a software instance, or request a product demo, we collect your organization name, administrator name, contact email address, telephone number, physical business location, and software license key activation details.
B. Application & Customer Data (Controlled by You)
Information entered into our applications (such as product barcodes, inventory quantities, retail pricing, invoice line items, student profiles, test scores, and attendance) is managed directly by you. In our offline software, this data is stored in your local storage or embedded databases. If you opt into cloud-synced versions, this data is securely transmitted and stored in our protected database instances.
C. Technical & Diagnostic Telemetry
To ensure software stability and verify active license compliance, our applications may collect minimal diagnostic metadata: operating system version (e.g. Windows 11, Android 14), machine architecture, application version, crash stack traces, error timestamps, and network status for license heartbeat verification.
D. Web Portal & Communication Data
When accessing amadutech.com or submitting demo requests, we collect your submitted message, email, phone number, and standard web server logs (IP address, browser type, referring pages).
4. How We Use Your Information
We utilize collected information exclusively for legitimate, explicit business purposes:
- License Provisioning & Validation: Generating software license keys, authenticating on-premise activations, and preventing unauthorized software distribution.
- Core Functionality: Processing calculations, rendering invoice documents, generating terminal school report cards, and executing retail checkouts.
- Technical Support & Bug Resolution: Analyzing software crashes, resolving database integrity issues, and releasing updates.
- Customer Communications: Sending software update notices, security advisories, invoice billing receipts, and responding to support inquiries.
- Compliance & Legal Obligations: Complying with applicable commercial and financial regulations under Ghanaian and international laws.
5. Product-Specific Policies
A. Smart POS (Point of Sale & Inventory)
Smart POS manages product catalogs, stock balances, purchase orders, cashier shifts, sales receipts, and customer balances.
- Sales and revenue records are stored locally and are strictly proprietary to the merchant.
- Cashier access is managed via local role-based permissions (Administrator, Manager, Cashier).
- Receipt generation and thermal printer outputs execute directly on local USB/Bluetooth connections.
B. Academia System (School Management ERP)
Academia System processes sensitive educational records, including student admissions, SBA continuous assessment marks, attendance logs, and school fee records.
- Data Controller vs. Processor: The participating educational institution acts as the Data Controller. AmaduTech acts solely as the software developer and Data Processor.
- Student records and academic grading data are never shared, sold, or utilized for profiling or commercial advertising.
- Terminal report cards and transcripts are generated on-demand and stored within the school’s managed database instance.
C. Invoicey (Invoicing & Estimates)
Invoicey handles customer contacts, product price lists, invoice generation, tax configurations, and payment tracking.
- Client contact information and financial totals are kept strictly confidential.
- Exported PDF invoices and receipt documents are created on the client device.
D. Future Applications & Custom Enterprise Systems
Any software, mobile tool, desktop system, or integration released in the future by AmaduTech is automatically bound by the confidentiality, privacy standards, and data protection terms defined in this general policy.
6. Device Permissions & Hardware Access
Our mobile apps and desktop clients may request specific operating system permissions. These permissions are strictly required for functional software operations:
Used solely for scanning product barcodes during POS checkout, scanning student ID QR cards, or capturing staff profile photos.
Required to save PDF report cards, export Excel spreadsheets, save receipt files, and create offline database backups.
Required to interface with thermal ESC/POS receipt printers, cash drawers, and handheld wireless barcode scanners.
Used to deliver low-stock alerts, fee payment reminders, system backup confirmations, and urgent software updates.
7. Cloud Services, Sync & Third Parties
When cloud functionality is activated or web platforms are accessed, AmaduTech relies on vetted, enterprise-grade third-party infrastructure providers:
- Google Firebase & Google Cloud: Our web hosting, cloud Firestore database (project:
amadu-tech), and secure synchronization endpoints are hosted on Google Cloud infrastructure adhering to ISO 27001 and SOC 2 security compliance. - Payment Processors & Mobile Money: When processing customer payments or digital billing, transaction requests are routed directly to licensed payment gateways (e.g. Paystack / Mobile Money providers). AmaduTech never stores full payment card details or mobile money PINs on our servers.
- Telecommunication & SMS Gateways: For applications that dispatch automated SMS parent notifications or customer invoice receipts, phone numbers and message content are transmitted through licensed telecommunications SMS aggregators solely to fulfill message dispatch.
- Advertising Disclosures (Where Applicable): On free or ad-supported mobile utilities, third-party advertising SDKs (such as Google Mobile Ads / AdMob) may collect pseudonymous advertising identifiers in strict compliance with Google Play Developer Policies and applicable privacy laws.
8. Data Security, Protection & Backups
We employ rigorous physical, administrative, and technical safeguards to preserve the confidentiality and integrity of your data:
- Data Encryption in Transit: All data transmitted between client applications and cloud databases is encrypted using Transport Layer Security (TLS 1.3 / HTTPS).
- Local Authentication: Desktop and mobile applications feature role-based access control with hashed administrator credentials.
- Encrypted Database Backups: Built-in backup utilities allow customers to generate encrypted local snapshots of their databases to protect against hardware failure or accidental data loss.
- Restricted Engineering Access: Only authorized engineering personnel with signed non-disclosure agreements have access to production deployment infrastructure.
9. Children & Educational Data Protection
AmaduTech takes the protection of children’s data exceptionally seriously. In the context of our Academia System ERP:
- Student demographic, academic, and attendance data is collected and managed under the direct authority and responsibility of the licensed educational institution.
- We do not collect personal information directly from children under 13 without verified institutional consent.
- Student records are never used for targeted marketing, commercial profiling, or advertising.
- Schools retain complete rights to modify, export, archive, or permanently delete student records upon graduation or institutional request.
10. Data Retention, Portability & Deletion
You maintain complete control over your organization’s data:
Data Portability & Export
All AmaduTech software packages provide standard export capabilities, allowing you to export your data into universally compatible formats (Excel .xlsx, CSV, JSON, and PDF) at any time without vendor lock-in.
Data Deletion & Purging
For offline software, deleting the local database file or uninstalling the application permanently removes all local operational records. For cloud-synced accounts, you may request permanent deletion of your cloud organization data by emailing obiriclaude@gmail.com. Requests are completed within 14 business days.
11. Policy Changes & Notifications
We may periodically update this Privacy Policy to reflect new software features, legal requirements, or security enhancements. When changes are made, the revised policy will be posted on this page with an updated “Last Updated” date.
For material changes that impact how we handle account or cloud data, we will provide prominent notification through in-app banners or direct email communication to registered administrators prior to the change taking effect.
12. Contact Information & Data Protection Officer
